Refund Policy

1. MONTHLY CHILDCARE FEES

Monthly childcare fees are due on the 1st of each month. Fees are charged for the full month and are non-refundable once the billing period has begun. Fees are not reduced or refunded for the following reasons:

  • Child absence due to illness or personal reasons

  • Family vacations or travel

  • Statutory holidays and centre-observed closures

  • Temporary child suspension due to illness or behaviour

2. DEPOSIT

A deposit equal to one month's fees may be collected at the time of enrollment. This deposit is held on account and applied to the final month's fees upon proper written withdrawal notice. The deposit is non-refundable if the required 30 days written notice is not provided.

3. WITHDRAWAL & NOTICE PERIOD

Families wishing to withdraw their child from MERAKIDS must provide a minimum of 30 days written notice by email to info@merakids.ca or in person. Fees remain payable in full throughout the entire notice period, regardless of whether the child attends during that time.

If a family withdraws without providing the required 30 days notice, the outstanding fees for the remainder of the notice period will be charged and the deposit will be forfeited.

4. LATE PAYMENT

Monthly fees not received by the 5th of the month will be subject to a late payment fee of 10% of the applicable parent fee. For eligible families on the Alberta Affordability Grant, this applies as follows:

  • Full-time care: $32.63 (10% of $326.25)

  • Part-time care: $23.00 (10% of $230.00)

5. NSF & RETURNED PAYMENTS

A fee of $40.00 will be charged for any non-sufficient funds (NSF) or returned payments. Repeated NSF occurrences may result in a requirement to pay by certified cheque or money order going forward.

6. CENTRE-INITIATED TERMINATION

If MERAKIDS terminates enrollment due to non-payment, policy violations, or safety concerns, fees already paid for the current month are non-refundable. Any deposit held on account will be applied to outstanding balances before being returned.

7. UNEXPECTED CENTRE CLOSURE

In the event of an unplanned or emergency closure of the centre due to circumstances beyond our control (including but not limited to natural disaster, facility damage, or government-mandated closure), fees will be prorated or credited for the number of days the centre was closed. MERAKIDS will communicate any such closure and the corresponding credit or proration to families as promptly as possible.

8. STATUTORY HOLIDAYS & SCHEDULED CLOSURES

MERAKIDS is closed on all Alberta statutory holidays. No refunds or fee reductions are provided for statutory holiday closures. A schedule of all planned annual closures will be shared with families at the start of each calendar year.

9. OPTIONAL & SUPPLEMENTAL SERVICES

Fees paid for optional supplemental services (such as field trips, special programming, or transportation) are non-refundable once the service has been confirmed and arranged. If MERAKIDS cancels a supplemental service, a full refund or credit will be issued for that specific service fee.

10. ALBERTA AFFORDABILITY GRANT

MERAKIDS participates in Alberta's Affordability Grant program. Eligible families pay the government-regulated flat parent fee of $326.25 per month for full-time care or $230.00 per month for part-time care. This policy applies equally to all enrolled families regardless of subsidy or grant eligibility.
